Women on Edge Ski-Treat – Terms & Conditions

Please read these Terms & Conditions carefully before booking your Women on Edge Ski-Treat. By paying your deposit and confirming your place, you acknowledge that you have read, understood and agreed to these Terms & Conditions.
1. Booking and Payment
A ¥100,000 JPY non-refundable deposit per person is required to secure your place on the Ski-Treat.
The remaining balance is due 90 days before the start date of your Ski-Treat.
If you book within 90 days of the start date, the full balance will be due at the time your booking is confirmed.
If the balance is not received by the due date, Women on Edge reserves the right to cancel your booking and retain your deposit.
All Ski-Treat prices are quoted in Japanese Yen (JPY).
Payment may be made using the payment methods provided by Women on Edge at the time of booking. Any currency conversion or fees charged independently by your bank or card provider are your responsibility.
2. Cancellation by You
We understand that sometimes plans change. However, Women on Edge is a small-group experience and many elements of your trip are booked and paid for well in advance.
More than 90 days before the Ski-Treat
If you cancel more than 90 days before the start date, you will receive a refund of payments made, less:
your ¥100,000 non-refundable deposit; and
any non-refundable or non-recoverable payments already made to third-party suppliers on your behalf.
90 days or less before the Ski-Treat
Payments are non-refundable when cancellation occurs 90 days or less before the start date.
However, if we are able to fill your place with another suitable participant, Women on Edge may offer a refund, less:
your ¥100,000 non-refundable deposit;
any non-refundable or non-recoverable third-party costs already incurred; and
any other costs directly associated with replacing your booking.
Any refund in these circumstances is at the discretion of Women on Edge and will depend on the amount we are able to recover.
Illness, injury, inability to travel, flight disruption, family emergencies, changes to personal circumstances or choosing not to travel are considered cancellations by the participant and are subject to the cancellation terms above.
For this reason, comprehensive travel insurance is strongly recommended.
Non-refundable third-party costs
Some elements of your Ski-Treat may require advance payment to third-party providers. These may include accommodation, restaurants, private chefs, equipment rental, activities and other reservations.
Where these payments cannot be recovered from the supplier, they cannot be refunded to you.
3. Cancellation by Women on Edge
In the unlikely event that Women on Edge cancels a Ski-Treat for operational reasons within our reasonable control, participants will be offered either:
a refund of payments made to Women on Edge for the cancelled Ski-Treat; or
the opportunity to transfer payments to another Women on Edge experience, where available.
This does not include cancellations or significant changes caused by circumstances outside our reasonable control, which are covered under Force Majeure below.
Women on Edge is not responsible for consequential costs associated with a cancelled trip, such as international or domestic flights, additional accommodation, visas or other independent travel arrangements. Participants should ensure these costs are adequately covered by their travel insurance.
4. Minimum Participant Numbers
Women on Edge Ski-Treats are small-group experiences and require a minimum number of participants to operate as planned.
If minimum participant numbers are not reached, Women on Edge reserves the right to:
operate the Ski-Treat with an adjusted itinerary or format;
offer an alternative Women on Edge experience or date; or
cancel the Ski-Treat and refund payments made to Women on Edge.
We will endeavour to make any decision regarding minimum numbers as early as reasonably possible.
Participants are strongly encouraged to book flexible or refundable travel arrangements and comprehensive travel insurance.
5. Changes to the Program
Skiing is weather and condition dependent, and some flexibility is an important part of a mountain holiday.
Women on Edge reserves the right to make reasonable changes to the itinerary where necessary to provide the best and safest experience for the group.
Changes may include:
ski areas or terrain;
lesson schedules;
restaurants and dining arrangements;
onsen or other activities;
transport arrangements;
timing of activities; and
other elements of the itinerary.
Where significant changes are required, we will communicate these to participants as soon as reasonably possible and offer suitable alternatives where available.
Accommodation
Women on Edge reserves the right to substitute accommodation where necessary due to group size, availability or other logistical circumstances.
Where accommodation is changed, we will endeavour to provide accommodation of a comparable standard and suitability.
6. Snow, Weather and Lift Operations
Women on Edge cannot guarantee snowfall, powder conditions, specific terrain, weather conditions, lift operations or access to particular ski areas.
The skiing program may be changed according to snow conditions, weather, visibility, avalanche risk, lift operations and the needs and safety of the group.
Poor snow conditions, adverse weather, lift closures or changes to available terrain do not automatically entitle participants to a refund.
Where a third-party supplier provides Women on Edge with a refund for a cancelled activity or service, we will endeavour to pass the appropriate recoverable amount on to affected participants where reasonably possible.
7. Ski Ability, Group Suitability and Safety
Women on Edge Ski-Treats are designed for specific skiing levels. Participants are asked to provide an honest and accurate description of their skiing experience and ability before booking.
During instructed and organised skiing sessions, the instructor will select terrain and activities considered appropriate for the ability, safety and enjoyment of the group. Women on Edge may adjust a participant’s group, terrain or skiing program if their ability differs from the information provided before the trip or if particular terrain or activities are considered unsuitable.
These safety-based adjustments are part of the instructor’s professional judgement and do not constitute a reduction in the Ski-Treat package or entitle the participant to a refund.
All participants are adults and remain responsible for their own decisions and actions on the mountain. Participants are expected to consider and follow reasonable safety instructions and advice provided by Women on Edge instructors, ski patrol and resort staff.
A participant may choose not to follow an instructor’s recommendation or may choose to ski terrain or undertake an activity independently. Where a participant chooses to leave the instructed group, ski independently, or undertake terrain or an activity contrary to the instructor’s advice, they do so at their own risk and may no longer be considered to be participating in the Women on Edge instructed activity for that period.
Women on Edge reserves the right to decline to instruct, guide or accompany a participant on terrain or in an activity that the instructor considers inappropriate or unsafe for that participant or the group.
Participants are also responsible for skiing within their own ability, using appropriate equipment, observing resort rules and signage, and making appropriate decisions based on their own physical condition, fatigue and confidence.
Nothing in this section is intended to exclude or limit liability where it cannot lawfully be excluded.
8. Missed Activities
Once the Ski-Treat has commenced, refunds cannot normally be provided for activities or services missed by a participant.
This includes missed skiing, lessons, dining experiences, onsen visits, transport or other scheduled activities due to:
illness or injury;
fatigue;
personal choice;
late arrival or early departure;
travel disruption; or
other personal circumstances.
This is because accommodation, instruction, transport, dining and other elements of the Ski-Treat are arranged and paid for as part of the overall package.
9. Travel Insurance
We strongly recommend comprehensive travel insurance from the time you confirm your booking.
Your policy should be appropriate for a ski holiday in Japan and should include, where available:
skiing and snow sports;
medical treatment;
emergency evacuation and repatriation;
trip cancellation;
trip interruption;
illness and injury;
travel delays and cancelled flights;
lost or delayed baggage; and
other activities you intend to participate in during your trip.
Participants are responsible for checking the terms, exclusions and level of cover provided by their individual policy.
Women on Edge cannot guarantee that an insurance provider will cover a particular event or claim.
10. Health and Dietary Requirements
Please inform Women on Edge of any relevant dietary requirements, allergies or other requirements that may affect your participation when completing your pre-trip information.
We will make reasonable efforts to accommodate dietary requirements. However, Japan’s local restaurants and dining experiences may not always be able to cater for every dietary restriction or allergy.
Participants remain responsible for determining whether food, activities or other aspects of the Ski-Treat are appropriate for their individual circumstances.
11. Passports, Visas and Travel Arrangements
Participants are responsible for ensuring that they have:
a valid passport;
any required visa or entry permission for Japan;
appropriate travel insurance;
appropriate flights and onward travel arrangements; and
any other documentation required to enter and travel within Japan.
Women on Edge is not responsible for costs resulting from a participant being unable to travel due to passport, visa, immigration or other personal travel-document issues.
12. Liability and Assumption of Risk
Skiing, snow sports and mountain activities involve inherent risks.
By participating in a Women on Edge Ski-Treat, you acknowledge and accept the normal risks associated with skiing and other activities included in the program.
Participants are responsible for skiing within their ability, using appropriate equipment and following the reasonable directions of instructors, ski patrol and resort staff.
To the extent permitted by applicable law, Women on Edge is not responsible for loss, injury, damage, delay or additional expense arising from circumstances outside our reasonable control.
Nothing in these Terms & Conditions is intended to exclude or restrict any rights or remedies that cannot lawfully be excluded under applicable consumer law.
13. Participant Conduct
Women on Edge experiences are designed around a supportive, respectful and enjoyable small-group environment.
Participants are expected to behave respectfully towards other guests, instructors, accommodation staff, restaurant staff, drivers and other service providers.
Women on Edge reserves the right to remove a participant from an activity or, in serious circumstances, from the remainder of the program if their behaviour presents a safety risk or substantially disrupts the experience of the group.
Where removal results from a participant’s behaviour, refunds will not normally be provided for unused portions of the program.
14. Force Majeure
Women on Edge is not responsible for cancellations, delays or significant changes caused by circumstances outside our reasonable control.
These circumstances may include, but are not limited to:
natural disasters;
earthquakes;
severe or unusual weather;
insufficient or unsafe snow conditions;
avalanche or mountain closures;
resort or lift closures;
pandemics or public health emergencies;
government restrictions;
transport disruption; or
other unforeseeable events beyond our reasonable control.
In these circumstances, Women on Edge will endeavour to provide reasonable alternatives wherever possible.
Where cancellation becomes necessary, any refund or credit will depend on the amounts Women on Edge is able to recover from accommodation providers, ski resorts, restaurants and other third-party suppliers.
Non-recoverable third-party costs may be deducted from any refund.
Participants should ensure their travel insurance provides appropriate protection against events outside Women on Edge’s control.
15. Acceptance of Terms
Payment of your ¥100,000 booking deposit confirms your place and constitutes acceptance of these Terms & Conditions.
These Terms & Conditions apply to the Women on Edge Ski-Treat booked by the participant and should be read alongside the itinerary and inclusions provided for that particular experience.
